 Description of Meet Jobs
TIMERS
Timers will work the full meet unless other arrangements are made in advance with the Meet Director.
- Arrive 30 minutes prior to the meet.

Check in with the LMYA Meet Director and Head Timer.

Obtain your watch from the Head Timer and make sure it's in working order.

Take a seat at the assigned lane.
-
After each race give your watch's time and the name and team of the swimmer to the recorder.
-
If you miss a start, flag the Head Timer immediately.

At
the end of the meet you are responsible for returning the stopwatch you
were using to the Head Timer and making sure the watch is turned off.
The
usual convention in assigning timers at a home meet is that we furnish
one timer to the other team's designated lanes and two timers (one of
which is also a recorder) in our team's designated lanes.
RECORDERS
Recorders
must complete a time slip for each event. If there was no swimmer for
that event in your lane you need to complete the slip with the lane,
heat & event information and write "N/S" (no swimmer) on the slip.
The completed time slip has the swimmer's name, age group, lane #, heat
#, sex, event, club and watch time or times with the middle time
circled. You need to work quickly and print clearly so the desk workers
can complete the records without delay or confusion. Once the slip is
complete, you hand it to the Lane Runner. If there is information
missing, the Lane Runner will return the slip to you to be completed. A
copy of the team roster will be on your clipboard. Recorders are
assigned to their own team's designated lane. When recording times,
(without electronic timing system), three times should be given by the
timers. Write down all three times and circle the middle time as the
official time. If there are only two times given, write them down,
average the two and record the average as the official time. Be sure to
ask the swimmers their names before they take the starting block.
RECORD ALL FOUR SWIMMERS' NAMES FOR RELAY TEAMS. THIS IS IMPERATIVE!
LANE SLIP RUNNER
Collect
a recorder slip from each Recorder and double-check that the slip is
completely filled out with the correct information. Place them in order
from land 1 thru 10 (or end). Then, hand the full set of slips
(representing the results of the race) to the Verifier at the desk. The
Runner is responsible for the completeness and accuracy of the
information on the Recorder slips so that there are no delays at the
computer desk.
DESK
The desk requires a number of workers to perform the following functions to ensure swimmers' times are recorded correctly:
1.Timing
System - Volunteers who support the timing system set up the computer
to time the races electronically. A paper printout is created after each
race, and is given to the verifier.
2.Verification - The verifier
compares the race times from the computer printout with the times from
the individual lane slips. The lane slips are then generally organized
alphabetically by Team and given to the computer team.
3.Computer Input - Volunteers read/enter the race times into the computer. Ribbon labels are generated from this input.
4.Ribbon
Writing - Volunteers remove the printed result labels and apply them to
the appropriate ribbons for each event. Relay participant names are
hand written onto their labels.
5.Desk Runner - The desk runner takes
the printed results of the events and posts them in a designated area.
An additional copy is delivered to the announcer (if available). The
desk runner also facilitates 'handing off' information between the
different workers at the desk.
STARTER
During
the meet you are the one most responsible for the pace of the meet and
its general conduct. The Starter must clearly and slowly announce the
description of the event prior to each race so that the Recorders are
able to accurately complete their time slips. The Starter works closely
with the Head Timer and the Meet Director to move the meet forward in a
timely manner. The Starter also instructs the Timers prior to the
beginning of each meet.
ANNOUNCER
The
announcer keeps people informed of the progress of the meet and makes
announcements as necessary throughout the meet. The announcer works with
the desk to announce scores at Meets. As announcer you must pay close
attention to the Starter and the progress of the meet so as not to
confuse the swimmers or the parents.
STROKE & TURN JUDGES
This
person must be qualified either through taking an instructional course
from LMYA or as an experienced past competitive swimmer or swim coach.
The Stroke and Turn Judge is responsible for noting illegal strokes,
starts and turns by swimmers during the meets and notifying the coach,
the swimmer, and the lane recorder of the disqualification.
FLOATER/MEET DIRECTOR ASSISTANT
These
workers will report to the Meet director 1/2 hour before the meet and
will fill in for those parents who are assigned to work in any capacity,
but are late or missing. Floaters must stay for the whole meet in case
of early departure or illness of other workers.
SHEPHERD
The
shepherd helps the coach to gather and place the 5-6 and 7-8 year olds
in proper lanes before their event. Shepherds wear a "Shepherd" smock or
hat for easy identification. There are 4 shepherds per meet: 1 shepherd
for 5-6 girls, 1 shepherd for 5-6 boys, 1 shepherd for 7-8 girls, 1
shepherd for 7-8 boys.
SNACK BAR
Snack bar workers will work at home meets. Duties include purchasing food, set up, sales and cleanup.

Meet
Information

Your
swimmer may automatically be entered in "A" dual swim meets according to the
coaches' assessment of his/her skill, ability and team need. Swimmers MUST Sign
up for all "B" or "A/B" meets and Invitationals. See descriptions of Meet types
below. Meet entry is all done on-line, final entry lists will be posted on the
team website prior to all meets. It is the swimmers responsibility to check
their entries for accuracy and to contact the Team Director immediately if there
are errors.

All parents and swimmers should check the News Page daily
regarding meet line-ups, meet locations, sign-ups for meets or parties, any
changes, etc. This is the Communications Center for the Team! Information posted
here can change daily.
ON-LINE MEET
SIGN-UPS
All meets sign-ups are done on-line. In general swimmers
are allowed to select their own events for each meet. The coaches will not
assume all swimmers are available for all meets unless the swimmer has signed
up. Meet sign-ups are usually done one full week prior to a dual meet and three
weeks prior to an Invitational, League Championship and County meets. Swimmers
will pay for their individual entry fees for all invitationals except City Meet,
League Meet and County Meet. However, if a swimmer signs up and is a "no show"
for these meets they will be required to reimburse the team their meet entry
fees.
ORDER OF EVENTS
The
usual order of events in a swim meet is: Medley Relay, I.M., Freestyle,
Breaststroke, Backstroke, Butterfly and Free Relay. (I.M. and Free
Relay are optional in "B" Meets.) Meets begin with 6 & Under Girls, 6
& Under Boys, and then up through the age groups alternating
between boys and girls. Boys compete against boys and girls compete
against girls. Each swimmer may swim in no more than three individual
events, plus two relays.
"A" MEETS
These
meets are scored and have only one heat scoring for each event.
Swimmers are scheduled for each event ACCORDING TO THE COACHES'
DISCRETION. They are generally those with the current fastest times. At
times, there may be open lanes that allow coaches to include other
swimmers.
"B" MEETS
Some
of these meets are scored and have more than one heat per event.
Swimmers sign-up for up to three strokes that they would like to swim.
Swimmers with an "A" time (see page 32) in a stroke cannot swim that
event in a "B" meet.
"A/B" MEETS
These
meets will include a combination of "A" and "B" swimmers. All swimmers
MUST sign up ahead of time to be entered in an event. Entering swimmers
in these meets will depend on many factors, such as the quality and size
of the team we swim, our limitations on the length of the meet, what
the other team's coach wants to do, and a consideration for which
swimmers need to be in the meet. Some meets may emphasize "A" swimmers
only; some may be low "A"/high "B"; some may be primarily "B". We will
let you know as soon as we know.
TIME TRIALS MEET
ACALANES HIGH SCHOOL -
This
is a "mock meet" run as a regular meet with timers, recorders and a
starter. Our swimmers compete against themselves in a "dress rehearsal"
for the dual meets to come. In the first place, it gives the swimmers a
chance to release some pre-season jitters they might have and practice
their starts and strokes and turns. Secondly, it provides each swimmer
with a beginning time from which to make improvement. Thirdly, it acts
as a gauge for coaches in assigning swimmers to events for their first
dual meet. Finally, it helps the swim team parents rehearse job
assignments.

 County Meet Commitment (Team Fundraiser)
Fees charged for registration for the LMYA Swim Team are structured to allow all children the opportunity to swim. The funds needed to fully support this swim program far exceed the amount received from registration fees, and can only be realized by earnings from running the Contra Costa County Swim Championship at the end of the season. This is one of the most prestigious meets in the Rec. Swimming Community. With many of our swimmers eventually competing at the highest levels of swim competition. We are very proud to provide such an excellent opportunity for our Contra Costa Community.
While only LMYA Swimmers who reach County qualifying times (refer to handbook for actual times) may participate in this event, it is a FUNDRAISER to support our entire swim team and participation from all parents on some level is required. This support can sometimes be given prior to the meet because many hours of labor go into its planning and organization. All swim families will need to sign up for a County job at registration time. The completed work schedule will be distributed to each family as soon as possible after sign-up dates. If you have a conflict on your assigned date and time, YOU ARE RESPONSIBLE FOR FINDING YOUR OWN SUBSTITUTE, either by trading or contacting someone from the substitution list. After doing so, you must notify the Parent Work Scheduler of the change.
